When you open the CD and the graphics appear, you are seeing the entire gallery in thumbnail form. This is just one of three ways to view the catalog of graphics, each useful for different purposes. To view the catalog in a more manageable form, go to the View menu on top and choose either List or Record.
List will give you the name and description of each picture on the CD. (You may note that each picture seems to be listed twice. This is because the first version (for example, 001f.tif) is framed, whereas the second (001n.tif) is not. The easy way to distinguish the two is that the framed version has the letter f following the number in the filename, while the non-framed uses the letter n.)
Record will show a small picture (or thumbnail) next to information about the graphic. This includes the list of keywords, the Bible citations that accompany the graphic, and the day designation. This field tells you when the graphic is intended to be used, with the following letter in parentheses indicating the lectionary year.
Customize will allow you to see some information that might otherwise be missing from a given view-for example, you could add Day Designation to the List view, or Description to the Record.
Learning how to Find the file you want is the key to getting the most out of Icon. The Find control is in the Catalog menu, or you can key control-f. You'll see that it defaults to Keywords that start with a given word.
Say, for example, that you want to find graphics for the fourth Sunday of Advent. Click the arrow next to the word Keywords and scroll until you find Day Designation. Click on the arrow next to "starts with" and scroll down to "contains." Type Advent in the following window.
If you want to narrow your search further, click the More Choices button in the Find window. You'll see another line of choices. Keep the "starts with" modifier, but change the Keywords to Day Designation again and choose "Fourth." Click Find and the pictures that deal with this week appear. By similar manipulations of this function you can find just about anything you're looking for.
If you prefer scanning a wider range of entries to focused searching, you can go to Windows--> List Galleries. This subdivides the pictures into ready-made search topics, such as images from given lectionary years, seasons of the church, or banners (the pictures which simply say “Third Sunday of Lent,” or something similar).At this point, if you do a Find and click the “Find in Gallery” box, you can easily refine your searches further.
In addition to the Master Keywords List, there is a box on the toolbar that also searches by keyword. However, the searches from this list are case-sensitive, which means that you can often miss topics you think should exist.
If you have closed your Master Keywords List and want to bring it back, you can go to Window-->Master Palettes-->Master Keywords.
